Company Setup

When a new company is created on Kazisafi, an admin user is invited via email. On first login, they are guided through a 3-step setup wizard.

Provide your company’s basic information and statutory registration details:

  • Company name
  • Email and phone number
  • KRA PIN (Kenya Revenue Authority tax ID)
  • NSSF number (National Social Security Fund registration)
  • SHIF registration (Social Health Insurance Fund)

Configure how payroll runs at your company:

  • Payroll day: the day of each month employees are paid (1 to 31)
  • Employer bank: your company’s primary bank for payroll disbursements
  • Probation period: how long new hires are on probation (1 to 6 months)
  • Working days: select which days your company operates (default: Monday to Friday)

Set up your leave policies. Kazisafi pre-fills Kenyan legal defaults:

  • Annual Leave: 21 days (Kenya Employment Act minimum)
  • Sick Leave: 14 days
  • Maternity Leave: 90 days
  • Paternity Leave: 14 days
  • Compassionate Leave: 5 days
  • Unpaid Leave: unlimited

You can adjust days, when days become available, and policy rules during setup. All leave types and policies are fully editable after setup from Settings.

Once all three steps are complete, Kazisafi:

  1. Sets up current statutory rates (PAYE bands, NSSF tiers, SHIF rates) for your account
  2. Adds Kenyan public holidays for the current year to your calendar
  3. Activates your company account

Everything configured during setup can be changed at any time. Click Settings in the main navigation to access:

  • Company Profile: update company details and statutory numbers
  • Payroll: change payroll day, bank, payment method
  • Leave Kinds: add, edit, or deactivate leave types
  • Leave Policies: adjust entitlements, notice periods, carryover rules
  • Departments: create and manage organizational structure
  • Users: invite admins, HR managers, and payroll managers
